Supervisor Business Support

North Crossing & Prairie Parkway Therapy Clinics

Clinic Hours: Monday - Friday 8a-5p

Full-Time Benefits, 40 Hours/ Week

In conjunction with the manager, the Supervisor Business Support assures accurate and timely reception, billing, scheduling, charge and data entry, insurance pre-authorization and benefit verification, report preparation, filing and record keeping, and other duties which assist with the delivery of timely and effective rehabilitation services.

The Supervisor has responsibilities in the areas of planning, organizing, supervising, evaluating, staffing, scheduling, training, and educating experience specialists and office coordinator. The Supervisor Business Support provides oversight for management of Kronos for all employees and completes annual reviews for front staff. The Supervisor Business Support is responsible for front-end operations and staffing.

Responsibilities
  • Oversees scheduling/receiving/greeting of patients. Ensures welcoming environment for people served. Effectively manages positive relationships with referral sources and other members of the team.
  • Oversees billing/insurance/counseling: insurance verification, pre-authorizations, benefits checking of all incoming patients, and patient notification of insurance coverage for therapy, which may include coordination with Price-line and counseling patient on process for prompt pay and financial assistance applications. Stays current on changes with insurance plans (ex. HealthPartners, Medicaid). Updates schedulers and providers on changes.
  • Resolves insurance denials and patient concerns regarding billing.
  • Problem solves, analyzes, and collaborates with patient, therapist, providers, case managers, Central Billing Office, Revenue Cycle department, and insurance companies to identify and resolve billing and denial issues, including sending appeals and trouble-shooting and correcting claim or account errors.
  • Responsible for the management of medical records, ensures proper storage, retrieval, and release of medical records.
  • Oversees that outpatient therapy work ques are properly being managed and worked to provide efficiency with coding, registration, and patient scheduling issues.
  • Identifies denial and billing processes that need improvement to maximize efficiency and ensure proper payment within the department.
  • Oversees outcome collections, payment record keeping, and cash drawers within each clinic.
  • Assists with management of therapy business operations. This includes measurement of the department's effectiveness using quality metrics, patient satisfaction ratings and financial data.
  • Provides assistance to manager in coordinating of the business office personnel and delegation of duties to ensure the efficient operation of the business office.
  • Oversees staffing of business office functions in accordance with FTE budgets for regional Waterloo outpatient clinics.
  • Supports manager to screen applications, conducts phone interviews, set up and complete in person interviews for experience specialists and office coordinator.
  • Establishes and implement training processes for new front office staffing (experience specialists and office coordinator).
  • Assists Manager in conducting regular department meetings for problem solving, decision making and communication for all departments.

Qualifications
  • High School Diploma or GED
  • Associate degree in business or therapy field
  • Medical Terminology
  • Bachelor's Degree in relevant field preferred
  • Experience in Therapy preferred
  • Prior experience with financial advocacy, patient scheduling/registration, and medical insurance preferred
  • Experience in Microsoft Word, Excel, Power Point, and Outlook
  • Extensive knowledge in coding and billing guidelines
  • Prior experience with use of EPIC; therapy coordination experience preferred
  • Two years business office experience in health care setting preferred
